Office Administrator

About the position

We are looking for a reliable, highly motivated person to represent our company in administrative activities as well as customer service responsibilities. Must have good communications skills for both internal operations as well as customer interactions. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenge.


  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands.

  • Organize and schedule meetings and appointments.

  • Organize office operations and procedures.

  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.

  • Manage interactions with office vendors, service providers, etc.

  • Keep customers advised regarding order status

  • Log incoming and outgoing product shipments

  • Provide general support to visitors.

  • Manage executives’ schedules, calendars and appointments.

  • Clerical, administrative and secretarial responsibilities.

  • Detail oriented for record keeping and documentation

  • Able to analyze incoming requests and manage accordingly.

  • Participate actively in the planning and execution of company events.

  • Ensure filing systems are maintained and current.


  • Proven office administrative or assistant experience.

  • Knowledge of office systems and equipment.

  • Excellent time management skills and ability to multi-task and prioritize work.

  • Attention to detail and problem solving skills.

  • Good communications skills to interact with customers and receive incoming orders

  • Excellent written and verbal communication skills.

  • Strong organizational and planning skills.

  • Proficient in MS Office.

  • Excellent computer skills.

  • Knowledge of accounting, data and administrative management practices and procedures.

  • Knowledge of clerical practices and procedures.

  • Knowledge of human resources management practices and procedures.

  • Knowledge of business and management principles.
